How do I add the VAT calculation on my invoice templates?

If you previously were not registered for VAT but you are now registered for VAT, you will need to add the VAT calculation on your NightsBridge invoice and proforma invoice template. Adding the VAT calculation to your invoice allows the system to identify which items have VAT and which items need to be VAT exempt.

Click on the settings icon

Click 'Setup'

Click 'templates'

Open the invoice template

  1. Select Invoice from the dropdown list.
  2. Click to Download.

Your invoice template will now open in Excel

Change the invoice template

  • Select the cell which must contain the formula.

1. Click on your Formulas tab.

2. Click on Define names.

  1. Add NBVATAmount in the name field.
  2. Change Scope from Workbook to Sheet1.
  3. Click OK.

The VAT calculation has now been added to the template and will be displayed when an invoice is generated.  

  • Add 'VAT' to the name field.

If you previously had a vat calculation in this cell, please remove it so the new vat calculation will work.

Upload your new invoice template

  • Save the invoice template in a place that you can easily find later.

Make sure that you do not change the name of the document or the extension (i.e. invoice.xls).

Go back to your NightsBridge setup.

  1. Click on Templates
  2. Choose Invoice from the Template drop down list.
  3. Click to Choose File.
  1. Search for the document that you saved earlier. It should be invoice.xls.
  2. Click to Upload the file.
  • A message will display to show you have successfully uploaded your new template.
  • Any new invoice that you generate on BridgeIT now include the VAT calculation.

Make sure that you do the same with your Proforma template, if you use them. Just repeat the steps above but for the proforma.

Now that you have added the VAT calculation to your invoice template, you will need to update you rates on NighstsBridge.
