How Do I Move a Room From an Existing Room Type to a New Room Type?

This tutorial will show you how to unlink a physical room from one existing room type and link it to another new room type in the NightsBridge Setup program. The physical room will then be bookable as a different room type online.

Open the NightsBridge Setup program

Please look at our tutorial on how to access NightsBridge Setup if your need more information on how to do this.

Click on Step 2: Setup Rooms

Click on Room Types

Click on the room type name which the physical room is currently linked to

Untick the checkbox next to the name of the physical room to be unlinked from the room type

Click on Save

The name of the physical room will now be removed from the list of rooms currently linked to the room type to be sold online.

Click on Add to create a new room type

Enter the Name of the new room type

The Name should describe the TYPE of physical room(s) that will be attached to this room type e.g. Single Room, Double Room, Luxury Suite, Family Cottage.

The naming of the room type(s) does not affect how your NightsBridge calendar (PCBridge) looks. Your calendar will show each physical room individually. The room type name(s) are only displayed online - on the NightsBridge booking form on your property's own website and on certain partner websites which use the NightsBridge booking form, such as SA Places and Sleeping-OUT.

Enter the Max Occupancy / Max Adults of the new room type

Max Occupancy is the total number of persons (ADULTS AND CHILDREN COMBINED) that can stay in this room type.

Max Adults is the total number of ADULTS ONLY that can stay in this room type.

Enter the Description of the new room type

The Description will appear online - on the NightsBridge booking form on your property's own website and on certain partner websites which use the NightsBridge booking form, such as SA Places and Sleeping-OUT. It is your 'advertisement' for the room type.  

Make it attractive and enticing. It's not necessary to mention all the amenities (like tea & coffee making facilities, hairdryer etc).

Rather sell the benefits of choosing this room type (beautiful view of the sea, private balcony etc).

It is also a good idea to mention aspects of the room which may influence the guest's choice (like type and size of bed(s), bathroom configuration - en-suite or separate, bath and shower, shower only etc).

Remember that the length of the room type description is limited to 255 characters (including spaces), so try to keep it concise.

Select the Default Meal Plan applicable to the new room type

Choose the Default Meal Plan for the new room type by clicking on the drop-down arrow and selecting the applicable meal plan from the list of options provided, i.e. If the rates charged for the new room type include breakfast, then choose Bed & Breakfast as the default meal plan.

** NB! ** Remember, the rates associated with your default meal plan will be identified as your default rates online - some partner websites only display your default rates and not other rates which are associated with additional meal plan(s).

Tick the checkbox(es) next to the name(s) of the physical room(s) to be linked to this new room type

You can select as many physical rooms as you like but you cannot link the same physical room to more than one room type.

The number of room type(s) does not affect how your NightsBridge calendar (PCBridge) looks. Your calendar will show each physical room individually. The room type(s) are only displayed online.

** NB! ** When choosing which physical rooms to link to a certain room type, remember that these rooms will all be included under the same room type name and description, with the same Maximum Occupancy / Maximum Adults rules and will have the same meal plan(s) and rates applicable to that specific room type.

We recommend that you do not create a separate room type for each physical room. It's better to group rooms which are the same together under one room type to be able to make changes (to your rates and other details) quicker and easier.

Doing this also allows you to move bookings around between different rooms in the same room type, as the client only knows that he/she has booked a 'Luxury Double' room, for instance, but they do not know which of the 'Luxury Double' rooms they will be staying in.

Click on Save

The name(s) of the physical room(s) will now be added to the list of rooms currently linked to the new room type to be sold online.

When you are finished, click on Save again

Click on Exit

Enter rates for the new room type which you have now linked the physical room(s) to

When you are finished, click on Publish

The change(s) will now be successfully updated on the NightsBridge server.
