How to create a STO rate sheet

A rate sheet can be used to provide specific rates to a certain booking channel - like sending discounted rates to a contracted tour operator. It can also be used to send rates to a booking channel in another currency. When creating a rate sheet the option to discount your Rack rates by a specified percentage is also available.

Review the tutorial 'How to find Setup' should you need guidance.

Click 'STO Rate Sheet'

'STO Rate Sheets' is located under the Advanced Options section.

Click 'Add'

Click on 'Add' to open the 'Main STO / Rate Sheets' page and start creating a new rate sheet.

Name the rate sheet and set the currency.

  1. Add a name for this rate sheet.
    In the imaged example 'STO15' has been used - 'STO' for Standard Tour Operator, and '15%' to represent the fifteen percent discount off the Rack rate applied to these rates.
  2. The currency will be set to your NightsBridge default currency.
    If you need to change the currency, click on the drop-down menu to expand it and select the appreciate currency.

Set the Cancellation Policy

Use the drop-down menu to set whether one-night stays are refundable.

OPTION 1: Click on the 'Use Recommended Policy' to apply an industry-standard cancellation policy to this rate sheet.

OPTION 2: Use the scaled policy fields to edit the policy to your needs.

Apply a fixed discount off Rack (Optional)

Here you are able to set a fixed percentage discount for the rate sheet. When using this feature, NightsBridge will automatically apply the set discount to the current Rack rates on NightsBridge.
This feature is optional and you are able to manually enter the rates.

  • To use this, type if percentage discount you would like applied.
    The amount can also be increased and decreased using the arrows in the field.

Select the room type(s) and set rates

  1. Tick the box make a room type available on this rate sheet.
  2. Click 'Set Rates'

Using the rate sheets fixed percentage to set the rate

Here you can confirm the rate sheet name, room type and meal plan selected before setting the rates.

If you have set a fixed percentage discount to apply to the rate sheet, you can click 'Pull in Rates' to populate the rate fields with discounted rates. This will apply the percentage discount to the current RACK rates.

  1. Click 'Pull in Rates'
  2. Note that the discounted rates have been added.
  3. Click 'Save' on the Rate Capture screen.

Manually enter the rates

  1. Should you prefer, you can manually enter the required rates into the fields.
  2. Click 'Save' once done.

Add remaining rooms to this rate sheet

Repeat the process of ticking the room type and setting the rates for all room types that you want to make available on this rate sheet.

Important!

There is no active link between your Rack rates and the rates within rate sheets. Should the Rack rates change, the rates within the rate sheets must be updated as well. These will not update automatically.

Publish your saved changes

Click 'Publish' within the orange banner found on the Setup page.

Although changes may be saved while updating the features in Setup, these changes need to be published in order for NightsBridge to distribute them.

Updating information in Setup will trigger the 'Publish' banner. When you see this banner, there are Setup changes that have not been published.

Once you click 'Publish', the changes are updated to the NightsBridge server. Only then is this updated information available to be distributed to any connected booking channels and sites, including your NightsBridge Booking Engine.

Once published, make sure to test that the rates are presented correctly.

Test that your rates are correct:

  • for ALL seasons,
  • all room types
  • and meal plans.

Check the availability for one night in each season and select a different occupancy each time (i.e adults and children) to see that the correct rates are displayed.

Important: Your rates are your responsibility --- Please test your rates to ensure that they are presented correctly.
