How to Handle Travel with Flair (TWF) Booking Modifications

Managing corporate and government travel bookings does not have to be complicated. When a guest needs to adjust a stay booked through Travel with Flair (TWF), the process is straightforward, even though a few manual steps are required.

Here is everything you need to know to handle TWF booking modifications smoothly and keep your calendar perfectly up to date.

Which TWF Branches Does This Apply To?

This guide applies to bookings received from the following Travel with Flair offices.

  • Travel with Flair Cape Town
  • Travel with Flair Pretoria (Government bookings)
  • Travel with Flair Rivonia (Johannesburg)

How the Modification Process Works

Because TWF coordinates corporate travel allowances and official documentation directly, booking modifications are not updated automatically in your calendar. Instead, TWF handles the changes through direct communication with your property.

  1. Guest Request: The guest contacts Travel with Flair directly to request a change to their dates or room requirements.
  2. Phone Confirmation: A TWF consultant calls your property directly to discuss and confirm the requested changes in your schedule.
  3. Email Record: TWF sends an email confirming the updated booking details to both you and the guest.
  4. Manual Calendar Update: Once you receive written confirmation, simply update the booking dates or room allocation manually on your NightsBridge calendar.

Pro-Tip: What to Do for Complex Modifications

If a guest needs to make multiple or extensive changes to their stay, updating the existing booking manually can sometimes get messy. In these cases, it is usually much cleaner and easier to cancel the original booking in NightsBridge and ask TWF to issue a fresh booking with the new dates and details. This ensures your guest records and billing remain accurate without extra administrative hassle.
