How to block out a room remotely using Owner's Login

In this tutorial, we will explain how to make a booking online from the Owner's Login (WebView) section of the NightsBridge website when you are away from the office and don't have access to the computer with the NightsBridge software installed on it.

You will need to have access to a desktop, laptop or tablet computer with a working internet connection.

If you prefer to do so, you can also use your Android smart phone or Apple iPhone (as long as it has a working internet connection) to manage your property's availability online by using the NightsBridge mobile app.

You will first need to install the app onto your smart phone by searching for it in either the Google Play Store (on Android smart phones) or the Apple Store (on Apple iPhones), downloading and installing it as you would any other app.

Log into the NightsBridge Owner's Login

Click on Add Booking

Select arrival date from the drop-down calendar

Select departure date from the drop-down calendar

Number of nights will be calculated automatically

Enter client details

If the client HAS NOT booked with you previously:

Fill in the relevant fields with the client's title, first name and surname, company name (if applicable), phone number and email address. This information will be saved in your property's NightsBridge database for future use, e.g. if the same client makes another booking with you.

If the client HAS booked with you previously:

Leave all of the fields blank and click on the button with the people icon next to the Surname field.

Search for the existing client in your property's NightsBridge database using either the client's surname, company name or email address.

A list of existing clients with matching surnames, company names and/or email addresses which have already been entered into your NightsBridge system will appear in the box below the search fields.

Click on the name of the specific client to select them from the list of search results.

The relevant fields will automatically be filled in with the client's name(s) and contact details - whatever information was saved in your property's NightsBridge database when the client's details were first entered or most recently updated.

Enter booking notes (if applicable)

Booking notes will include useful information relevant to the specific booking, e.g. the guest's estimated time of arrival, any special requests, etc.

Select room to be booked from list of available rooms in the drop-down menu

Enter number of guests to be staying in the room

Type the correct number(s) of adults and children of different age categories (if applicable) into the relevant field(s).

Enter special rate to be charged for booking the room (if applicable)

The rate charged for booking the room will be automatically calculated using the default RACK rates, child policy / rates and any override / long stay discount rates (if applicable) which are entered into the NightsBridge Setup program for the specific room type which the room is linked to.

You can override this rate if you choose to do so by typing a different per night rate into the relevant field.

To add extra rooms to the booking, click on Add and repeat the above steps

To remove extra rooms from the booking, click on the button with the red minus sign next to the specific room

When you are finished, click on Confirm

Click on OK

A pop-up window will appear to advise that the new booking has been created successfully and allocated a Booking ID on the NightsBridge server.

This will take you back to the main screen of the NightsBridge Owner's Login (WebView)

New booking appears in the calendar grid

Remember, the room(s) and dates which you have booked will immediately be blocked out on the NightsBridge server so that nobody else can book the same room(s) and dates online.

However, you will need to synchronise the NightsBridge calendar (PCBridge) when you get back into the office if you want the new booking to reflect in your calendar grid.
