How to send an Online Guest Check-out form

This tutorial shows how you could send a guest an online check-out form for them to settle their account.

This check-out form acts as a "bill" or "ProForma" that you would generally issue to the guest on check out to settle their outstanding account.

Open the booking for the guest that's checking out.

This guest has an outstanding account that they need to settle before they check out.

You could use the Pay on Check Out function in order to send the bill to the guest so that they know what they owe you and to make payment.

1. Click on "Copy Check-Out Link"

The link will automatically go into your computer's clipboard and so you can just paste it into whatever message you're wanting to send to the guest.

2. Alternatively, click on the "Email Check-out Link" to automatically send it to the guest.

By clicking on the "Email Check-Out Link" it will automatically send the guest an email with the Check-Out" Form.

The guest will receive an email that will look like this:

You cannot process payments for R10 or less. If the guest needs to process a payment for a small amount, you need to use the standard  PayBridge link.

The guest can choose their preferred payment method in order to settle their outstanding account.

If the guest chooses the credit card option, their card will automatically be debited by PayBridge or your gateway once they click "Continue" and you will receive an email notifying you of the successful transaction.

If you do not have a gateway, we recommend that you apply for PayBridge. The guest's credit card details would otherwise not be processed and you would have to manually retrieve the credit card details and process them on your credit card machine.

We will attempt do do a 3D-Secure transaction whenever we find that the Credit Card supports it.

This means that the card holder will be required to enter an OTP pin to authorise the transaction.

Please Note: You are still required to get the guest to sign the Credit Card transaction slip as part of the check-out process. You can do this when the guest physically leaves the property and returns the keys/access cards.

If they choose EFT as an option, we will display your Bank Account details for them to make a payment.

They will then need to do a deposit into your bank account via EFT and then email the Proof of Payment (P.O.P) through to you.
