The below tutorial will guide you on how to personalize the registration document.
The registration can be given to guests upon arrival. It provides an opportunity to get additional guest information that is not already available on the client profile.
This document can be printed or copied to an email for the guest to complete.
Once completed, you can update the client information with the provided information provided by the guest.
Search for our tutorial called 'Viewing or editing guest client details' for guidance on how to edit these details.
The Online Guest Registration feature is available within 'Guest Communications' on the booking details. When using this feature, information provided by the guest will automatically update on the guests client profile.
Select the template and click 'Download'
- Click on 'Select' to open the drop-down menu.
- Select the Registration template.
- Click 'Download'.
Open the Registration document
Once you have clicked on download, you may get a pop-up informing you that your browser is blocking a site from opening a pop-up window.
You can allow this as it is a safe document to download from our system.
- Click 'Open with' and select the program you use to open documents.
- Click on 'OK'.
Edit the template
The document linked below will assist you with any additional fields that you would like to add to your registration template. Each bookmark needs to have angled brackets- eg. [and] -at the beginning and end of each word that we list on the document for additional fields.
Do not remove the bookmarks (Eg. [GuestName]), unless you do not want the data to pull through from the booking when you generate the registration. Removing these fields will result in a blank registration.
Once the template is open, you can edit the document by adding your logo or information like your terms and conditions.
Make sure to save the changed document with a new file name and in a location (on your computer) you can find.
Upload the edited Registration document
Once you are happy with your changes you can upload the document in the same place you downloaded it.
- Click on 'Templates' on the Setup.
- Select 'Registration' from the drop-down menu.
- Click on 'Choose File'
A window will open allowing you to navigate to where you saved your personalised template.
Select the file and click 'Open' on the window. - Note that the name of the file you will be uploading is now visible.
- Click 'Upload'.
Generate the Registration to make sure your changes are working as expected
- Select 'Guests Communications' within the Booking details of a booking.
The Guest Communication options will display. - Click 'Print Registration'.
Open the document
Check that the fields and information you edited on your template are displaying correctly.
